Start with a downtime budget, not just a moving date

Before picking a date, decide how much downtime your business can actually absorb. Most office moves are best scheduled over a weekend or overnight window specifically to avoid disrupting client-facing hours — work backward from "we need to be operational by Monday 9am," not forward from "we're free next Tuesday."

8+ weeks out

  • Notify your landlord and confirm move-out terms on your current lease (deposit conditions, notice period, freight elevator booking requirements)
  • Get quotes from movers with specific commercial/office relocation experience — not every residential mover is equipped for IT equipment and coordinated timelines
  • Loop in your IT provider early — server and network moves often need more lead time than furniture

4–6 weeks out

  • Update your business address with the state, IRS, bank, and any licensing bodies
  • Notify vendors, clients, and partners of the upcoming address change
  • Plan your new floor layout — send it to your mover ahead of time so furniture can go directly to its new spot instead of being staged and re-moved
  • Order any new signage, and confirm building rules for installation at the new location

2 weeks out

  • Back up all servers and critical data independent of the physical move
  • Label everything by department and destination room, not just "office" — this is what actually saves time on the other end
  • Confirm parking, loading dock access, and elevator reservations at both locations with your mover
  • Update your Google Business Profile and website with the new address ahead of the move, not after

Move weekend

  • Have IT equipment moved and reconnected first if at all possible, so systems can be tested before Monday
  • Keep a point person on-site at both locations to direct placement and answer questions
  • Do a final sweep of the old space — storage closets and supply rooms are the most commonly forgotten areas

First week in the new space

  • Test all systems — phones, internet, security, printers — before your first full business day
  • Update any remaining directories, business cards, or physical mail forwarding
  • Do a walkthrough of the old space for the landlord's move-out inspection
